Terms, Liability & Final Agreement

Please read all terms carefully before submitting your vendor application.

1. Discretion & Acceptance

The organizing team reserves the right to accept or decline any vendor application at its sole discretion. The decision of the organizing team in this regard shall be final and binding.

2. Non-Refundable Policy

All stall payments are non-refundable. This is a rain or shine event. No refunds or credits will be issued for weather-related issues, personal cancellations, or scheduling conflicts.

3. Liability Waiver

The organizing team and event staff are not liable for any loss, theft, or damage to property, including incidents related to weather, fire, or water. Vendors are responsible for any damage caused to the event venue (Warden North Parking Lot) or provided equipment.

4. Space & Boundary

All displays, products, and racks must remain within the assigned booth space to ensure fair visibility for neighbors and safe walkways for guests.

5. Cleanliness & Waste

Vendors must keep their assigned area clean and ensure all trash is disposed of in designated bins daily. Food vendors must have a spill-proof plan for liquids and oils.

6. Food Safety & Compliance

All food must be from an approved source. Food vendors confirm that at least one person with a valid Food Handler Certificate will be on-site at all times. The organizing team reserves the right to immediately suspend operations of any booth identified as a health or safety concern.

7. City Regulations

Vendors are solely responsible for obtaining all required permits and ensuring their participation complies with all City of Toronto regulations, including Fire Services Guidelines and Public Health Guidelines. The organizing team is not responsible for any fines or closures resulting from a lack of proper documentation.

8. Media Consent

The organizing team may use photographs and video recordings of booths and staff for promotional purposes across social media, websites, and future marketing.

9. Booth Allocation

Stall placement is at the sole discretion of the organizing team to ensure a balanced layout. Specific locations are not guaranteed.

10. Insurance

Vendors are responsible for maintaining their own liability insurance coverage for the duration of the event.

By submitting this application, you acknowledge that you have read, understood, and agreed to all terms, policies, and conditions listed above.

Payment Information

Payment is accepted through e-Transfer only.

After submitting the vendor application form, you will receive payment instructions and e-Transfer details by email once your application is reviewed and approved.

Please note that booth space will only be confirmed after payment has been successfully received.
